Real-estate paperwork is document-heavy and often time-sensitive, but a generic signing workflow must not be mistaken for a licensed transaction platform or state-form library. Rental packets, disclosures, listing-service agreements, application documents, and move-in checklists can involve local requirements, multiple owners or tenants, agents, property managers, and strict delivery rules. SignApprove can help an invited pilot organize reviewed PDFs, assign signer fields, retain completed files, and record audit events. It does not provide brokerage supervision, notarization, title, escrow, recording, MLS compliance, or a legal determination that a form is current. Use forms approved by the responsible professional and jurisdiction.
Prepare the PDF and fields
Identify the property with a complete address and, where appropriate, unit or parcel information. Confirm owner, landlord, broker, property manager, tenant, applicant, or service-provider roles before assigning fields. Check that required disclosures and addenda are the approved current versions and that referenced exhibits are attached. Avoid altering official forms with casual text overlays; make changes in the authorized source or through the process specified by the form provider. Review rent, deposit, fees, dates, renewal, notices, condition records, and keys or access terms. Application fees or balances may be recorded, but live client checkout is not generally available. Sensitive applicant data should be collected and shared through a purpose-built, access-controlled process.
Route approval and retain proof
A property manager or licensed professional should select and approve the document package. Each owner, tenant, guarantor, or authorized representative receives fields for the correct capacity, with signing order set only when required. Time-sensitive delivery should be confirmed through the required channel; provider acceptance of an email is not proof of statutory notice. If terms change, void the old request and issue a traceable new version. At move-in or handoff, a separate checklist can record condition and outstanding items. Retain the completed PDF and audit material according to brokerage, property-management, and legal retention rules established outside SignApprove.
