Workflow context

Contractor paperwork changes as a job moves from estimate to active work and final acceptance. The useful signing record is not just a signature on the first proposal: it should make clear which scope, allowances, exclusions, schedule assumptions, and price the client reviewed. A later change order needs its own version and approval rather than an edited estimate that obscures what changed. At completion, an acceptance or punch-list record can document the handoff without pretending that every open issue disappeared. It does not supply contractor-license terms, lien notices, permit language, or jurisdiction-specific consumer disclosures; those documents require qualified local review.

Prepare the PDF and fields

Prepare the PDF around the actual job. Confirm the customer and project address, legal business name, license details where required, scope boundaries, materials, allowances, start conditions, target timing, cleanup responsibilities, warranty language, and any referenced drawings or photos. Put initials only beside clauses that genuinely need a separate acknowledgment. If a change adds cost or time, describe both effects in the change-order PDF and identify the estimate or contract it modifies. A black box drawn over a customer detail is not necessarily secure redaction, so verify the exported file before sharing. Track a deposit or remaining balance only as an operational record unless a live payment provider has been separately configured and validated.

Route approval and retain proof

A practical route starts with an estimator or project lead preparing the approved PDF, followed by an internal pricing check when required. The customer or authorized property representative then reviews the complete package and signs the fields assigned to that role. Material changes return through a new change-order request. A completion approval should be separate from the original estimate and should identify unresolved items rather than force a blanket release. Delivery email must be tested through the configured provider; creation of a signing request alone is not proof that the homeowner received it. Retain the original, signed version, hashes, timestamps, and certificate with the project record.
