Workflow context

Consulting and coaching work can look simple while depending on precise expectations: the service period, session or project scope, client responsibilities, confidentiality, cancellations, ownership of materials, and limits of the engagement. An electronic-signature workflow should make those boundaries easier to review, not bury them in a generic intake form. Prepare the PDF and fields

Start with the client’s correct legal or business name and the exact service being offered. Define deliverables or session quantity, communication channels, scheduling and rescheduling rules, client preparation, response times, fees, taxes, expenses, renewal, termination, confidentiality, and how work product may be used. Separate testimonials or recording permissions into clear optional choices rather than hiding them in the service signature. Minimize sensitive intake data in the agreement and collect only what the workflow needs. If the PDF includes a payment plan, state dates and amounts as obligations or tracking records; do not imply that SignApprove will automatically charge the client. Verify every attachment and remove obsolete proposal versions before sending.

Route approval and retain proof

The consultant should approve the final scope and fee before routing it. The client then reviews the engagement terms and completes only the fields assigned to that role. If the buyer is a company, capture the representative’s title and confirm authority through the normal sales process. Intake questions can follow the agreement but should not expose confidential answers to people who only need contract access. Renewals should reference the prior engagement and identify what changed. Keep a completed PDF and audit record with the client file, and use a new version when session counts, services, or material terms change.
