Agency agreements often combine creative scope, access to client systems, approval rounds, usage rights, outside costs, and milestone billing. Those details are easy to scatter across a proposal, email thread, and statement of work. Prepare the PDF and fields

Before placing fields, confirm the client entity, brand or campaign, deliverables, channels, revision limits, approval deadlines, dependencies, access requirements, pass-through expenses, usage or license terms, portfolio permissions, and termination process. Distinguish estimates from fixed commitments and label taxes or media spend accurately. Include the exact creative brief or schedule if it is part of the agreement. For a retainer, explain what rolls over and what does not. For a change request, state the affected deliverable, added fee, and schedule impact. Remove internal margin notes and vendor pricing from the client PDF with a verified process, not a visual cover-up. Keep live collection claims out of the document unless the provider route has been validated for that tenant.

Route approval and retain proof

A common path is account lead preparation, internal scope and finance approval, then client review by the person authorized to accept budget and deliverables. If legal or procurement approval is required, record that role separately rather than asking the creative contact to sign for the company. Route change requests to the same accountable owner or a documented substitute. At milestone acceptance, identify the work being approved and any remaining corrections. Use reminders that match real deadlines and stop them when a request is voided or replaced. Retain completed PDFs and audit records with the client package so a later team can distinguish the original SOW from approved additions.
